This Privacy Policy describes how Houston Sign Crafters ("we", "us", "our") handles information in connection with our internal sales operations application ("the App"). The App integrates with Slack and QuickBooks Online to help our internal sales team generate quotes, create estimates, and create invoices.
## 1. Scope
The App is an **internal tool** used solely by authorized Houston Sign Crafters employees and contractors. It is not distributed to third-party users or the general public.
## 2. Information We Access and Process
The App accesses the following information to perform its functions:
### From QuickBooks Online (via our Intuit-approved OAuth connection):
- Customer records (name, email, phone, billing address)
- Item catalog (product and service names, pricing)
- Estimates and invoices created through the App
- Company information for the authenticated QuickBooks company
### From Slack:
- Slack user IDs and display names of team members who interact with the App
- Slash command inputs and modal submissions (quote requests, estimate details)
- Channel IDs where summaries are posted
### From our internal systems:
- Historical project data (invoices, permits, site plans) that we previously collected during our normal business operations
## 3. How We Use Information
We use the information we access to:
- Generate pricing suggestions for our sales team
- Create estimates and invoices in our QuickBooks Online company
- Post summaries to our internal Slack channel so the team stays informed
- Maintain an internal audit log of who created which estimates and invoices
We do **not**:
- Sell any information to third parties
- Share information with third parties outside the service providers described below
- Send emails, text messages, or other customer-facing communications through the App
- Use information for advertising or profiling

The App relies on the following third-party service providers, each governed by their own privacy policies:

- QuickBooks access tokens are stored encrypted at rest on our hosting provider.
- A local database of estimate and invoice records is kept for audit purposes.
- Historical project documents are stored on a persistent volume on our hosting provider.
- Access to the App, its hosting environment, and its source code is restricted to authorized Houston Sign Crafters personnel.
## 6. Data Retention
We retain data for as long as it is useful to our business operations or as required by applicable law (for example, tax and accounting records retention requirements).

Because the App is an internal tool and is not made available to the public, there are no end-user account controls. If you are a Houston Sign Crafters customer and believe we hold inaccurate information about you in QuickBooks, please contact us using the details below and we will correct it.
